Student Information System

PSD will be selecting and implementing a new Student Information System and Grade Book application to be implemented for the 2013-14 school year.  This system is being funded with dollars from the 2010 Mill Levy.
 
A timeline of recent activity events is as follows:
 
APRIL 2012
Four vendor demos are scheduled throughout the month of April.  One vendor each week will be on-site to demo specified areas of their product including but not limited to the areas of grade book, master scheduling, reporting, overall screens and data entry, as well as more technical areas regarding security and required hardware.  The Student Information System Selection Committee will also be reviewing whether the product integrates with other applications currently used in Poudre School District or if the vendors have modules or areas within their system that meet our requirements.  Score cards are being filled out by committee members for each vendor; final scores will be calculated and additional product analysis will take place in the month of May.
 

MARCH 2012
Initial scoring of the Student Information System RFP responses took place throughout the month of March.  Scoring was based on requirements specific in the RFP and based on Exceeds Requirements, Meets Requirements, Partially Meets Requirement, and Does Not Meet Requirement.  Four out of seven offerors/vendors were asked to complete a demo of their product.

FEBRUARY 2012
The Student Information System and Grade Book Request for Proposal (RFP) was posted on Friday, February 3rd at the Rocky Mountain E-Purchasing System website.  Offerors have the opportunity to respond by February 27th.  While the RFP is circulating, the SISSC and IT staff will begin discussing an implementation and integration plan.  We have identified over 50 applications/processes that PSD’s current information system integrates with.
 
JANUARY 2012
The SISSC continues to finalize system requirements.  Presentations were given at Elementary and Secondary Principal Group meetings and schools had the opportunity to provide feedback throughout January.  A meeting was January 17th with District subject matter experts to solicit feedback regarding high level requirements.  Subject matter experts in the areas such as Special Education, Gift and Talented, English Language Acquisition, Transportation, Health Services, Curriculum and others will be an integral piece for vendor selection.
 
DECEMBER 2011
The committee is currently working on a requirements list to be included in a request for proposal (RFP) that will be circulated to vendors in February 2012. 
 
NOVEMBER 2011
PSD will be selecting and implementing a new Student Information System.  A Student Information System Selection Committee (SISSC) made up of District staff, IT staff, administrators, and school staff has been formed.  A system will be selected this Spring to be implemented for the 2013-14 school year.
