Change to Encryption Process to Improve Access to Information

As of March 1, 2025, Poudre School District no longer requires the encryption process for sending emails with student’s PII (Personally Identifiable Information) to families. However, parents/guardians still have the option of receiving electronic copies or printed copies of documents (special education paperwork, 504s, etc.).

This change in process is to improve family access to information that is shared with them.

While encryption can be a useful tool for an additional layer of security and protection, it can also interfere with the ability of families and recipients to access information in a timely manner.

In addition, sending an encrypted message can give the false impression that the information is protected in a way that is not necessarily accurate.

Please know that this update does not compromise the ability to protect sensitive information or allow unauthorized access.

How can I help make this new communication system successful for families and staff?

What does this mean for families with a child that has an IEP OR 504 plan?

Integrated Services (IS) (IEP paperwork) and Student Services (504 paperwork) will no longer require encryption for email communication of student IEP and/or 504 plan materials. You can expect that emailed information will be sent to the guardian of record as recorded in Child Plus (early childhood) or Synergy (K – 12+). You should check and make sure that that information is correct by contacting your child’s IEP case manager OR 504 team lead. Documents/information already shared through Parent Vue will continue to be shared through that system.

What if I do not have or do not want to use email?

Records Question: How can I request and receive student educational records (attendance, transcripts, special education plans, etc.)?

Requests for student educational records are processed through ScribOrder. Records are delivered electronically to the email you provide or to the educational institutions that accept electronic transcripts via ScribOrder’s systems secure download method. However, a delivery address is still required in order to process the request. If electronic delivery is not available, the requested student education record will be mailed via USPS through a hardship request.
